Planning a Wedding Weekend, Not Just a Wedding Day
If you’re flying friends and family across an ocean for your wedding, you’re not really hosting one event. You’re hosting a weekend: a welcome dinner, the wedding itself, often a farewell brunch the next day, sometimes a beach day or an excursion in between. And your guests are arriving on different flights, on different days, into two different airports.
That’s the part that actually causes stress, and it’s rarely the flowers.
Guests don’t all arrive the same way
Sicily is served by two main airports, Palermo and Catania, and depending on where your venue is, your guests might be landing at either one, at different times over several days, and heading to different hotels or villas. If nobody’s coordinating that, people end up confused about transport, or arranging their own last-minute taxis in a country where they don’t speak the language.
I build a real transfer schedule for the whole weekend, not just the wedding day, so people are met and moved without having to figure it out themselves.
Multiple events means multiple logistics plans
A welcome dinner, a ceremony and reception, and a farewell brunch each have their own setup, their own vendors, their own timing. The florist finishing the welcome dinner venue might need to be setting up the brunch location the next morning. If that handoff isn’t planned, something gets missed.
I put together a timeline that accounts for all of it: when each vendor needs to be where, how guests move between locations, and what the day-of contact person is responsible for at each stage.
Things go wrong. That’s not unusual, it’s just true
A rainstorm, a delayed flight, a vendor’s van breaking down on the way to the venue. None of that is a sign of bad planning. It’s what happens over a multi-day event with a lot of moving parts. What matters is whether someone is handling it while you’re at your own wedding, or whether you’re the one fielding the phone call.
That’s the actual job on the day: being the person who deals with the problem so you don’t have to know it happened.
If you’re trying to figure out how to host a wedding weekend for guests coming from all over, rather than just a single-day event, tell me about your wedding and I’ll help you think through what it actually takes.
